Accepting a job offer: what to confirm in writing first

Before accepting a job offer, get an email from the recruiter or HR that confirms every term you discussed on the phone: the CTC and how it splits into fixed and variable pay, the joining date and location, the designation, probation and notice periods, any bond or clawback, and what happens if background verification is delayed. Verbal promises are easy to forget and hard to prove; one confirmation email written before you accept fixes that.
This article gives you that email, plus a checklist for reading the offer letter against it.
Why the phone call is not enough
Offers in India are often discussed on a call, followed by a PDF offer letter days later. Between the two, details shift: a joining bonus becomes "part of variable", a hybrid role becomes "office five days for the first quarter", or the designation changes. None of this is necessarily dishonest; the recruiter may not know the final letter's wording. But once you have accepted, your leverage to fix it drops.
The confirmation email, filled in
Send this after the verbal offer and before accepting. The figures are hypothetical.
Subject: Offer confirmation - Data Analyst - [Your Name]
Hi Priya,
Thank you for the offer discussion today. Before I confirm acceptance, I want to
make sure I have understood the terms correctly:
1. Designation: Data Analyst (Level 2), reporting to the Analytics Manager.
2. Total CTC: ₹9,60,000 per year, of which fixed pay is ₹8,64,000 and annual
variable is up to ₹96,000, paid on company and individual performance.
3. Joining bonus: ₹50,000, paid with the first salary. Please confirm whether it
is recoverable if I leave within a period, and what that period is.
4. Location and mode: Noida office, three days a week in office.
5. Joining date: 3 November 2026.
6. Probation: six months; notice period during and after probation?
7. Any service agreement, bond or training cost recovery?
8. Background verification: if BGV is still in progress on my joining date, may
I join as planned?
Could you confirm these, or correct anything I have misunderstood? Once I have
your reply, I will send my formal acceptance.
Regards,
[Name]The last line matters. It makes clear you are about to accept, so HR has a reason to reply, and it does not read as a negotiation.
Read the offer letter against the email
When the PDF arrives, compare each line. Use a simple two-column check:
| Term | Confirmed by email | Offer letter says | Match? |
|---|---|---|---|
| Designation | Data Analyst (Level 2) | Data Analyst | Ask about level |
| Fixed pay | ₹8,64,000 | ₹8,64,000 | Yes |
| Variable | Up to ₹96,000 | "As per policy" | Ask for the policy or target % |
| Joining bonus | ₹50,000, clawback? | ₹50,000 recoverable if exit within 12 months | Now known |
| Location / mode | Noida, 3 days in office | Noida | Mode not in letter; keep the email |
| Probation | 6 months | 6 months | Yes |
| Notice | ? | 30 days in probation, 60 after | Now known |
| Bond | ? | None mentioned | Keep the email saying none |
Where the letter is silent and the email is specific, the email is your record. Save it with the letter.
Things people most often miss
- Variable pay as a percentage of CTC. A high CTC with a large variable share can mean a lower monthly salary than a smaller, mostly fixed offer. Work out the monthly fixed in-hand before comparing offers.
- Components that are not cash. Some CTC figures include insurance premiums, employer PF or gratuity. Ask which lines of the salary breakup are paid to you monthly.
- Joining-bonus clawback. Common, and fine if you know it.
- The "subject to" clauses. Offers are often subject to BGV, document submission or a medical. Know which apply.
- Relocation or notice buyout support. If promised, it must be in writing. See negotiating your notice period for the buyout arithmetic.
Accepting, cleanly
Once everything matches:
Subject: Acceptance - Data Analyst offer - [Your Name]
Hi Priya,
Thank you for confirming the terms. I am pleased to accept the offer for the
Data Analyst (Level 2) role as per the offer letter dated 20 October 2026 and
your email of 21 October. I will join on 3 November 2026.
Please let me know the documents you need for onboarding and background
verification.
Regards,
[Name]Referencing both the letter and the email ties them together. Keep both in the verification folder described in background verification documents to keep, and log the dates in your job application tracker.
If they will not confirm in writing
A recruiter who refuses to put agreed terms in an email is telling you something. Ask once more, politely. If terms remain unconfirmed, decide based only on what is written in the offer letter, because that is all you can rely on.
