Background verification for tech jobs: what is checked, what to keep

Background verification (BGV) for data and tech jobs in India typically checks your identity, address, education, previous employment (dates, designation and sometimes reason for leaving), and may include references, a criminal record check and a check against industry databases. You sign a consent form that sets the scope. The best preparation is a document folder that proves each line of your resume, and a resume whose dates already match those documents.
The checks are usually done by a third-party agency after you accept an offer, sometimes continuing after you join. A discrepancy does not automatically mean you lose the offer, but it forces a conversation you do not want to have in your first month.
What each check looks at, and what proves it
| Check | What they verify | Documents to keep |
|---|---|---|
| Identity | Name, date of birth, photo | PAN card, Aadhaar, passport if you have one |
| Address | Current and sometimes permanent address | Utility bill, rent agreement, or the address on an ID; agencies may do a physical or digital visit |
| Education | Degree, university, year, sometimes marks | Degree certificate or provisional certificate, final marksheets, Class X and XII certificates |
| Employment | Company, dates, designation, sometimes salary and exit reason | Offer letter, appointment letter, relieving letter, experience letter, last few payslips |
| Employment dates, cross-check | Service periods | EPF service history in your UAN account |
| References | Your conduct and role | Names and contacts of managers who agreed to speak for you |
| Criminal / court record | Records against your name | None to hold; the agency searches |
| Database | Checks against industry records where used | Nothing to hold; be accurate on your forms |
Build the folder now, not when the form arrives
BGV forms often ask for everything within a few days. Create one folder, cloud and offline, with this structure:
BGV/
01_identity/ PAN.pdf, Aadhaar_masked.pdf, Passport.pdf
02_address/ Rent_agreement_2026.pdf, Electricity_bill_Aug2026.pdf
03_education/ Degree.pdf, Marksheets_all_semesters.pdf, ClassXII.pdf, ClassX.pdf
04_employer_A/ Offer.pdf, Appointment.pdf, Relieving.pdf, Experience.pdf, Payslips_last3.pdf
05_employer_B/ ...
06_epf/ UAN_service_history.pdf, Passbook_employer_A.pdf
07_references.txt Name, designation, company, phone, email, how they know youName files clearly. Scan at readable resolution, in colour, with all four corners visible.
A masked Aadhaar shows only the last four digits of the number. Use it wherever the employer's form accepts it.
Cross-check your dates with EPF before applying
Your EPF record is one of the easiest independent sources for employment dates, and verifiers can compare it with your claims. Log in to the EPFO member portal with your UAN to view your service history, and use the passbook service to see contributions by employer. The EPFO homepage at epfo.gov.in links both.
Compare three sources for every job:
| Employer | Resume dates | Offer / relieving letter | EPF service history | Action |
|---|---|---|---|---|
| Employer A | Jul 2022 - Mar 2024 | 18 Jul 2022 - 29 Feb 2024 | Jul 2022 - Feb 2024 | Change resume end to Feb 2024 |
| Employer B | Apr 2024 - present | 1 Apr 2024 | Apr 2024 onwards | Matches |
This fictional candidate rounded up a leaving date by a month. It is minor, but it is exactly the kind of mismatch that produces a discrepancy flag. Fix the resume, not the story.
Note that EPF may not cover every job: small employers below the coverage threshold, contract roles paid through a vendor, or internships may not appear. If a job is missing from EPF, make sure you hold the offer letter, relieving letter and payslips or bank statements showing salary credits.
Common discrepancies and how to handle them
- Designation differs. Your resume says "Data Analyst", the letter says "MIS Executive". Use the official designation on the resume and describe the analyst work in bullets.
- Company renamed or acquired. Write both: "Acme Analytics (now part of Beta Corp)". Keep any communication about the change.
- Employer shut down. Keep the offer letter, payslips, bank statements showing salary credits, Form 16 or equivalent TDS certificates you received, and a colleague or manager who can confirm your role. Tell the verifier upfront.
- Third-party payroll. If you worked at a client site but were employed by a staffing vendor, the vendor is your employer for verification. List it that way; see contract and third-party payroll roles.
- Gap in employment. State it honestly; guidance is in explaining a career gap.
- No relieving letter. See relieving and experience letter problems for what to do before your new employer asks.
Your side of the consent
Read the consent form before signing. It should list what will be checked. If something surprises you, such as a request for access you consider excessive, ask HR what it is used for. Keep a copy of what you signed and submitted.
When a verifier contacts you for clarification, reply quickly and in writing, attaching the relevant document. Most discrepancies close quickly when the document is provided promptly.
A clean BGV starts with a resume that matches your records. If you are adding a course or portfolio projects to your resume before a switch, list them with the same care over dates; the Data Science programme page shows its duration and structure so you can describe it accurately.
Frequently asked questions
What is checked in background verification for an IT or data job?
Employers commonly check identity, address, education, previous employment dates and designation, and sometimes criminal records, references and a database check. The exact scope depends on the employer and the verification agency, and you usually sign a consent form listing it.
Can a mismatch in joining dates fail background verification?
A small mismatch can trigger a discrepancy that the employer then reviews; a large one, or a missing employer, is more serious. Check your resume dates against your offer letters, relieving letters and EPF service history before you apply, and correct the resume if they differ.
