Decline a job offer professionally: email drafts for each case

To decline a job offer professionally, reply quickly, thank the people involved, give a brief honest reason, and close without leaving a door you do not mean to use half-open. The email should be short: three or four sentences is enough. What changes by case is the reason and whether you want to stay in touch for future roles.
Declining quickly is the most important part. A recruiter holding a slot for you may have other candidates waiting.
Before you write: check what you have already signed
| Situation | What it means |
|---|---|
| Verbal offer only | Declining is simple; no document to withdraw |
| Offer letter received, not signed | Decline by email; nothing more needed |
| Offer letter signed and returned | You are withdrawing an acceptance; read reneging on a signed offer first |
| Joining date passed | This is no longer declining; talk to HR directly |
Draft 1: you accepted another offer
Subject: Data Scientist offer - [Your Name]
Hi Arjun,
Thank you for the offer and for the time your team spent with me across the
interviews. After careful thought, I have decided to accept another role that is
a closer fit for the forecasting work I want to focus on.
I enjoyed the case discussion with Neha and would be glad to stay in touch.
Regards,
[Name]You do not need to name the other company. If asked, "a product analytics role" is enough.
Draft 2: your current employer made a counter-offer
Subject: Data Scientist offer - [Your Name]
Hi Arjun,
Thank you for the offer. I have decided to stay with my current employer, where
a new role on the pricing team has opened up. I appreciate the time you and the
panel gave me, and I am sorry not to be joining.
Regards,
[Name]Be honest that you are staying. Recruiters often find out, and being straightforward protects your reputation if you apply there again.
Draft 3: the pay did not work
Use this only after you have tried to negotiate and the gap remains.
Subject: Data Scientist offer - [Your Name]
Hi Arjun,
Thank you for revisiting the offer. I understand the fixed pay cannot move
beyond ₹14,50,000, and after considering it carefully I am not able to accept at
that level given my current commitments. I respect the constraint and I
appreciate how openly you discussed it.
If the budget for a similar role changes in future, I would be happy to hear
from you.
Regards,
[Name]The figure is hypothetical. Stating it is optional; it can help the recruiter internally.
Draft 4: the role is not the right fit
Subject: Data Scientist offer - [Your Name]
Hi Arjun,
Thank you for the offer. Having learnt more about the role in the final round, I
think the balance of reporting work and modelling is not the direction I want to
take right now. I would rather say so now than join and find it out later.
Thank you again for a well-run process.
Regards,
[Name]Draft 5: you had said yes on the phone
Subject: Data Scientist offer - [Your Name]
Hi Arjun,
I am writing to let you know, earlier than later, that I will not be able to take
up the offer I verbally accepted on Tuesday. A family situation means I need to
stay in Pune for the next year, and the role requires relocation. I apologise
for the change and for any inconvenience to the team.
Regards,
[Name]Apologise once, give the reason, and stop. Over-explaining reads as uncertainty and invites persuasion.
What to leave out
- The exact salary of a competing offer, unless you are negotiating, which you are not now.
- Criticism of the interview process, the panel or the company.
- Promises you will not keep: "I will definitely apply again next quarter."
- Any request for feedback in the same email. If you want feedback, ask separately and later; after a rejection has a template that works equally well here.
Record it
Update your application tracker with the status "Declined" and the reason. Over a search, those reasons show a pattern: if you decline three roles for being reporting-heavy, stop applying to reporting-heavy roles.
Having more than one offer to choose from is often the result of a stronger portfolio. The Data Science programme runs for six months, live online with recordings, and centres on building that portfolio through projects.
Frequently asked questions
Should I tell the company why I am declining?
A short, honest reason is courteous and helps the recruiter close the position. You do not need to name the other company or share its salary figure.
Is it better to call or email when declining an offer?
If you have been talking to a recruiter by phone, a short call followed by an email is the most courteous. The email is the record; send it either way.
