To check a payslip, take the salary annexure from your offer letter and match every monthly line. Each earning on the payslip should equal one twelfth of an annexure component. Each deduction should follow from a rule you can state, such as 12% of EPF wages. Any CTC item missing from the payslip should be a cost the employer pays elsewhere. On the hypothetical ₹12,00,000 offer below, the monthly net pay of ₹85,883 is fully explained, and there is no income tax to deduct in tax year 2026-27.
The annexure you are tracing from
Every figure is illustrative. Replace them with your own annexure.
| Annexure component | Annual | Paid how |
|---|---|---|
| Basic | ₹4,80,000 | monthly |
| HRA | ₹1,92,000 | monthly |
| Special allowance | ₹3,97,000 | monthly |
| Employer PF (12% of the ₹25,000 ceiling) | ₹36,000 | to EPFO, not to you |
| Gratuity (employer's provision) | ₹23,000 | only on exit, if eligible |
| Group health insurance premium | ₹12,000 | to the insurer |
| Performance variable (target) | ₹60,000 | once a year, if earned |
| CTC | ₹12,00,000 |
The first three rows add up to ₹10,69,000, the fixed gross, which is ₹89,083 a month. The other four rows are paid elsewhere or later, if at all, so ₹1,31,000 of CTC never appears as monthly cash. EPFO's wage-ceiling FAQ notes that CTC is not a statutory concept. It is a presentation choice, which is why the tracing matters.
The payslip, line by line
| Payslip line | Amount | Traces to |
|---|---|---|
| Basic | ₹40,000 | ₹4,80,000 ÷ 12 |
| HRA | ₹16,000 | ₹1,92,000 ÷ 12 |
| Special allowance | ₹33,083 | ₹3,97,000 ÷ 12, rounded |
| Gross earnings | ₹89,083 | |
| Employee PF | ₹3,000 | 12% of min(basic ₹40,000, ceiling ₹25,000) |
| Professional tax | ₹200 | hypothetical; depends on your state's schedule |
| Income tax (TDS) | ₹0 | see below |
| Net pay | ₹85,883 |
The employer PF of ₹3,000 should not appear as a deduction. It is already inside CTC and is paid on top of gross earnings. If your payslip deducts both employee and employer PF from gross, the employer is recovering its own share from your pay. EPFO's FAQ says an employer cannot simply relabel CTC to recover its share, so raise it with payroll.
Why the TDS line is zero
Section 392(1) of the Income-tax Act, 2025 requires TDS at the average rate on the estimated salary for the tax year. Here the estimate is ₹10,69,000 fixed plus the ₹60,000 variable target, or ₹11,29,000. Less the ₹75,000 standard deduction, that leaves total income of ₹10,54,000. That is under ₹12,00,000, so the section 156 rebate removes the tax entirely in the default new regime. The department's slab page lists the same threshold. A payslip showing TDS on these figures means payroll has you on the old regime, or has counted income you are not aware of.
Five errors this trace catches
- 1PF on the wrong wage. 12% of ₹89,083 gross is ₹10,690, not ₹3,000. PF is computed on basic plus DA plus retaining allowance, up to the ceiling unless you and the employer have agreed to contribute on higher wages.
- 2A component split differently from the annexure. Your total may be right but, say, basic lower and special allowance higher. That lowers your PF and any basic-linked benefits. It is worth a question, because basic drives more than one number; see basic at 30%, 40% or 50%.
- 3The wrong regime. Payroll defaulted you to one regime while you declared the other. Check the declaration you submitted.
- 4Joining-month proration applied again. The second payslip should show full amounts. If it is prorated, the joining date may be wrongly recorded.
- 5A deduction you did not agree to. For example a canteen, transport or insurance top-up recovery. Ask for the authorisation you signed.
The gap between CTC and take-home, explained
| Reconciliation | Annual |
|---|---|
| CTC | ₹12,00,000 |
| Less items not paid as monthly cash | −₹1,31,000 |
| Fixed gross | ₹10,69,000 |
| Less employee PF (₹3,000 × 12) | −₹36,000 |
| Less professional tax (₹200 × 12, hypothetical) | −₹2,400 |
| Annual net pay | ₹10,30,600 |
₹10,30,600 ÷ 12 = ₹85,883, matching the payslip net to the rupee. If your own trace leaves a gap you cannot name, that gap is the question to send payroll. For a component-by-component look at the non-cash rows, see CTC items you never receive as cash.
