The short answer

After an interview, send a short thank-you email the same day or the next morning, then wait until the date they gave you (or about five to seven working days if they gave none) before your first follow-up to the recruiter. Send at most one more follow-up a week later, then stop chasing and keep your pipeline moving.

Draft 1: the thank-you note

Keep it to four or five lines, and include one specific point from the conversation so it does not read as a template.

text
Subject: Thank you - Data Analyst interview

Hi Sandeep,

Thank you for your time today. I enjoyed the discussion about how your team
reconciles the daily sales feed with finance numbers; the example of the
refund-timing mismatch was a problem I would like to work on.

I look forward to hearing about the next steps.

Regards,
Pooja Nair

If you realise you answered something poorly, you may add one line, but only one: "On the question about handling NULLs in the join, I should have mentioned COALESCE on the right-hand table; I have written a two-line example below." Do not rewrite the whole interview.

Draft 2: first follow-up when the date has passed

text
Subject: Re: Data Analyst interview - next steps

Hi Ritu,

I hope you are well. I interviewed for the Data Analyst role with Sandeep on
Monday 14 September, and you mentioned the team expected to decide by the end of
last week. I wanted to check whether there is any update on the next steps.

I remain very interested in the role.

Regards,
Pooja Nair

It reminds them who you are (role, interviewer, date), refers to their own timeline, and asks one question. It does not complain about the delay.

Draft 3: the final follow-up

text
Subject: Re: Data Analyst interview - next steps

Hi Ritu,

Following up once more on the Data Analyst role. I understand these decisions can
take time. If the role has moved forward with other candidates, I would be grateful
to know, and I would be glad to be considered for future analyst openings.

Regards,
Pooja Nair

This gives them an easy way to close the loop, which is often what prompts a reply.

Draft 4: you have another offer and need a decision

If another company has made an offer with a deadline, you can tell your preferred company. Be factual and never invent an offer to create pressure.

Subject: Re: Data Analyst interview - timeline question

Hi Ritu,

I have received an offer from another company and need to respond by Friday
25 September. [Company] remains my first preference, so I wanted to ask whether
the team expects to reach a decision before then.

I understand if that is not possible, and I appreciate any indication.

Regards,
Pooja Nair

Some companies can speed up; others cannot. Either way, you get information to decide with.

What not to do

  • Calling the interviewer's personal mobile when you were scheduled through HR. Use the channel they used with you.
  • Messaging every interviewer on LinkedIn asking for the result. One line of thanks to connect is fine; asking for the decision there is not.
  • Sending a follow-up the day after the interview asking for results.
  • Emotional language: "I have been waiting anxiously", "I really need this job". It shifts the conversation away from your fit.
  • Following up on a WhatsApp number unless the recruiter has been using WhatsApp with you already.

After a no

If the answer is a rejection, reply briefly, thank them and ask one specific feedback question. The drafts and a way to learn from the pattern of results are in asking for feedback after a rejection.

The strongest follow-up is a strong interview. If SQL or stakeholder questions are where you lose rounds, the Data Analyst programme includes mock interviews on both.

Frequently asked questions

How long should I wait before following up after an interview?

If they gave you a date, wait until one or two working days after it. If they gave no date, wait about five to seven working days. Send the follow-up to the recruiter or HR contact who scheduled you, not to every interviewer.

Is it okay to follow up more than once?

Two follow-ups after the thank-you note is a reasonable maximum, spaced about a week apart. After that, treat silence as a no for planning purposes and keep applying, while leaving the door open.
